OMIQ allows you to collaborate with other users by sharing your datasets and workflows. This article focuses on users within the same OMIQ server. Visit our How to Collaborate with Users on a Different OMIQ Server to learn more about collaborating with users on a different OMIQ server.
1. Form Connections
Before you can share anything, you must connect with other users.

Open the Profile page.
In the Connections panel, fill in your connection's Email address. Click Send Request. Your connection will now be notified of the request.
You or your collaborator may need to refresh the page to see the connection request and its status. Please note that forming a connection with someone does not give them access to your datasets and workflows. The connection allows you to share datasets and workflows with them.
2. Share a Dataset

While inside the Dataset you want to share, open the Collaborators tab.
Select Connections or Groups to share the Dataset with.
Add a Role for the connection. Learn more about Roles & Permissions.
Click Add.
2. Share a Workflow

While inside the Workflow you want to share, open the Collaborators tab.
Select Connections or Groups to share the Workflow with.
Add a Role for the connection. Learn more about Roles & Permissions.
Click Add.
When a user is added to a workflow it will automatically give them Reader access to the Dataset. So, in most cases, a user should just be added directly to a Workflow and not to the Dataset prior, since that part is automated. The exception is when they need a higher access level on the Dataset.
3. Roles & Permissions
A user added to a Dataset or Workflow can be a Reader or Editor. Give someone Reader access to limit their ability to edit the resource. Editor access means the user can edit the resource (e.g. add or delete files/task, modify metadata, modify task settings, etc).
4. Groups
On your profile page, underneath the Connections panel, there is a Groups panel. Here is where you can create and manage Groups.
A Group is a collection of users that work together or otherwise share access to certain Datasets and Workflows. Instead of sharing with individual users, you can share with the Group to give all the users in the Group access to the resource.

4.1 Create a Group

Open the Profile page.
In the Groups panel, click Create Group.
Type in a name for your group and click Create.
4.2 Managing Your Group
Your group can be managed by selecting it from the list of Groups in the Groups panel.

Select the Group you want to mange.

Once selected, you can Add users, Remove users, create a Join Code, and Add External Users to your Group.
4.3 Add a User to a Group
Users can simply be added to a Group to give them access to all the resources (Workflows and Datasets) that the Group has access to. This is simpler than adding a user to Workflows and Datasets individually and separately.
In order to add users to the Group, you must be connected with that user. The exception to this rule is through a special role for administrators using OMIQ Enterprise.

Click Add Users.

Select new members of that you want to add to the group.
Click Submit.
If a user has direct access to a resource in addition to Group access to a resource, but different roles in each, they will get the greatest role from among their multiple means of access.
4.4 Remove a User from a Group
When a user has left a Group or no longer needs access to the Group resources, a user can be removed from the group.

Look for the member's Email address in the Name column.
Click on Remove this user from this group.
4.5 Create a Join Code
A Join Code allows users to add themselves to your group without forming a connection first. A Join Code will only be valid for 48 hours after creation.

Click Get Join Code.
Click Confirm.

Copy the Join Code that was generated. Click OK.
4.5.1 Join Group By Code

Open the Profile page.
In the Groups panel, click Join Group By Code.
Type in the Joining Code for your group and click Update.
4.6 Add an External Connection to a Group
A user from a different OMIQ server can be added to your group.

Click on Add Ext User.
Select new external member and click Submit.
