Overview
Basic access to OMIQ requires a user account registered with a valid corporate or academic email address. This allows browsing, downloading, and sharing of data, user and licensing management, and other light operations. Beyond that, actual data analysis activities in OMIQ require an active License. Licenses are purchased exclusively on a subscription basis for a given time period – usually one year.
Licenses are purchased with a specific number of Seats. Seats are assigned to specific user accounts by the Seat Manager for the License. This is usually the person who purchased the license but may also be a designee of their choosing. See the Seat Management section below for more details.
Every new account gets a Trial License by default. The trial time is generally three weeks but may vary depending on your organization. The OMIQ team is happy to extend your Trial License as many times and for however long as you need, within reason.
Purchasing and Claiming a License or Additional Seats
You can purchase a new License or add additional Seats to an existing License. Learn more about purchasing OMIQ.
No action is required on your part when you add Seats to an existing License. Once the purchase is processed the additional Seats will be immediately available to the Seat Manager for that License.
When purchasing a new License, you (or your designee) will have to Claim the License. This can be done by navigating to the OMIQ Profile page and clicking the appropriate button (see below). OMIQ will prompt you for the License Key that you received during your purchase.
(Claim the License Key you received from your purchase.)
Managing Seats
OMIQ Licenses can be self-managed with many options detailed below. However, don’t hesitate to contact us or write to billing@omiq.ai to get help with any management needs.
Initial View
Whoever Claims the License becomes the Seat Manager for the Seats on the License. The Seats are displayed in a simple table format. Here is an example of the initial view seen after Claiming a License with 4 Seats:
(The view of Managed Seats immediately after Claiming. Note that one Seat is automatically assigned to the Claimer for convenience. It can be immediately reassigned as desired.)
Each Seat has a unique ID seen on the left. That is followed by the assignee(s) and the time of last assignment. The information about the License ID and end date is seen below the table.
Seat Management Actions Menu
There are a variety of actions the Seat Manager can take. Use the indicated menu to view them:
(Seat Management actions menu.)
Assigning a Different Seat Manager
The current Seat Manager can pass off the responsibility by using this option within the menu:
It’s possible to assign different Managers for different Seats on the License. However, currently there can be only one Manager per Seat. The Seat Manager does not need to have a Seat assigned to them.
Note that the list of users that you can assign as the new Seat Manager is limited to your Connections.
Assigning Seats Singly and in Bulk
Seats can be assigned simply one at a time, or in bulk:
Assigning a single Seat is fairly intuitive. Select the option, select the Seat (which will indicate the current assignee), and then enter the email address of the new assignee. NOTE: Seat assignment is done purely by email address without checking accuracy or existence of the user account in question. This is done for convenience to avoid blocking Seat assignment on account creation, which are often out of sync. However, it does require attention to detail.
Assigning Seats in bulk may be easier for initially provisioning users on a large License. To do this, first copy the Seats to your clipboard:
Paste the copied Seats into any spreadsheet and set the user assignments for the desired Seats there (not all need to be assigned):
You only need to focus on the ID and Assigned Users column. Copy them and paste them into the prompt that appears when you choose the Bulk Assign Seats menu option. Submit to assign the Seats.
Seat Reassignment Frequency Limit
Any Seat can be reassigned to a new user but only after it has been held for 90 days by the current user. An error will occur when trying to reassign a Seat before that time has passed. Exceptions are granted within reason by contacting us or writing to billing@omiq.ai.
